Program Assistant, Project Hire-Ed, CFRN60052PHED

Responsible for day-to-day office operations for Project Hire-Ed and assisting with the development and maintenance of processes, procedures, and reporting mechanisms. Facilitate communications with employers and outside organizations. Provide administrative support to the Vice President.


Project Hire-Ed is an initiative aimed at addressing the skills gap that is impacting national and local competitiveness and impeding economic growth. It is focused on expanding our partnerships with employers by developing strategies to close the skills gap with the ultimate goal that students develop the skills employers are looking for (and get jobs) and employers find the talent with the right skills.

  • Provide administrative support to the Vice President including coordination of meetings, coordinating travel arrangements, conference registrations, submitting expense reports, preparing PowerPoint presentations, sorting/screening mail, maintaining calendar and scheduling appointments, etc.


  • Coordinate Project Hire-Ed Committee meetings including scheduling and creating meeting minutes.


  • Maintain employer database and contact lists including data-entry, reporting, synthesis of information, etc.


  • Manage specialized external data-base systems as needed.


  • Create procedures for employer intake/triage process. Manage intake/triage process for potential participants interested in Project Hire-Ed partnerships and follow up as appropriate.


  • Assist with preparation of grant proposals including researching and preparing appropriate data as needed. Prepare and submit all required reports as needed.


  • Conduct research to identify potential employer and workforce development organization partners.


  • Partner with the Marketing, Enrollment and Admissions Departments to assist with the coordination, development and implementation of marketing and enrollment strategies.


  • Answer general inquiries by telephone walk-in and email relating to Project Hire-Ed.


  • Provide communication support between all Project Hire-Ed stakeholders including Employers, Project Hire-Ed Committee, community leaders and organizations, Cabinet, Faculty, Student Affairs, etc.


  • Assist with investigation, organization, interpretation and preparation as appropriate responses (verbal and in writing) for inquiries/matters received regarding Project Hire-Ed. Maintain detailed records.


  • Exercise professional judgment to interpret and communicate policies and procedures to employers, participants, partners, internal stakeholders, and the public.


  • Work with Purchasing/Business Affairs to expedite vendor contracts and office supplies. Maintain inventory of necessary supplies. Scrutinize invoices for accuracy and obtain order and payment authorizations. work with Finance to ensure procedures are followed properly.


  • Coordinate and manage department budget.


  • Other duties as assigned.



REQUIRED:


EXPERIENCE: Minimum of three years in a business or academic setting. Experience working with internal and external customers.


Must have strong organizational skills, ability to prioritize and manage multiple priorities simultaneously, attention to detail, proficient in MS Office program (Word, Excel, PowerPoint, Outlook) and experience working with databases. Demonstrated proficiency in communication (verbal and written), relationship management skills, meeting deadlines in a fast-paced environment, and working accurately with a commitment to quality.


Must have experience demonstrating initiative and being proactive. Proficiency in written and spoken English required.


EDUCATION: Associate degree or an equivalent combination of education and experience.


PREFERRED EXPERIENCE: Five (5) or more years of experience in the above categories including direct experience with customer service, academic programs, and workforce development.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
