Administrative Assistant IV (F/T), CFRN13689SS

Assist in facilitating office operations as well as assisting with confidential personnel and student concerns in the Student Services Support Center under the direction of the Manager.




  • Provide administrative support for the Manager of Student Services Support Center. Provide input and suggestions for the improvement of services or procedures.


  • Responsible for the daily operation of all clerical functions for the department, managing timeliness and accuracy of all work through the organizing, prioritizing and monitoring of tasks.


  • Works closely and confidentially with the Manager; researches and prepares reports, drafts letters and memos, verifies and coordinates various forms and reports.


  • Assist with Student Services Support Center budget by working with Manager to develop, load and monitor annual budget data.


  • Monitor Student Services Support Center's budget and create bi-weekly variance reports for the Manager. Research new equipment and supplies and obtain quotes to assist in creation of the annual budget.


  • Controls the inventory of office supplies; orders supplies, and maintains budget for supplies. Submit requisitions, place and track orders and resolve problems that arise. Review and approve invoices and goods received.


  • Collects, reviews for accuracy and processes bi-weekly timesheets for the department.


  • Responsible for the development and maintenance of procedures and resource manuals for clerical functions of the department.


  • Provide assistance in College software as needed.


  • Collaborate with Marketing Services to obtain and revise marketing brochures and other promotional pieces promoting Student Services Support Center.


  • Collect and sort data for statistical reports; gather information and complete reports as directed by the Manager.


  • Assist in providing services at Student Services Support Center Front Desk as needed.


  • Responsible for meeting minutes for Student Services Support Center staff meetings, committee meetings and other meetings as assigned.


  • Other duties as assigned.




REQUIRED:


EXPERIENCE: 2 years administrative assistant experience. Ability to prioritize, focus attention, and problem solve. Strong attention to detail and organizational skills. Experience with maintaining a high degree of confidentiality. Good working knowledge of Microsoft Office Suite. Proficient in written and spoken English.


EDUCATION: High School Diploma.


PREFERRED:


EXPERIENCE: Four years administrative assistant experience. Ability to prioritize, focus attention, and problem solve. Strong attention to detail and organizational skills. Experience with maintaining a high degree of confidentiality. Expert knowledge of Microsoft Office Suite. Proficient in written and spoken English. Bi-lingual.


EDUCATION: AA Degree.


Computer, printer, calculator, telephone, and copy machine.


Work tends to be interrupted by high level of student/faculty/community walk-ins and phone calls; deals with confidential material.


This position requires a background check and drug screen.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
